An announcement is not email, it’s not fax, it’s not news. Announcements are the sharing of information that include the ‘facts and feeling’ in the same short paragraph. Everything you send without vetoing carries the facts to the pages of The Newspaper. In an announcement, a simple mistake like an incorrect date or an incorrect name (of the hospice) or wrong spelling (of a wish for or a wish against flowers) makes it front page news.
When communicating sensitive information, wording matters, but the sequence matters as well. You should never be the first to post about an engagement, diagnosis or death in a group chat. For this reason, we usually create two different versions for the people you tell first, then the people after them.
The reader should be able to answer four questions after reading: what, when, what is expected of them, how to respond. Death notices are work in progress documents. They set the time for the service, name the charity, and inform distant relatives about whether they are expected to attend. Warmth is necessary, but not if it’s at the expense of the line that someone needs to fill in.
Announcements tend to lean toward ceremony. They claim a passing was peaceful, maybe it was, but either way the precise time of the service is mentioned farther down in the announcement after two paragraphs of saccharine outpourings. The one reason people looked at the announcement in the first place is mentioned last.
One writer waits till every spelling is confirmed and a list of details given before making the first draft. A short draft is made only as big as it has to be for the intended space. By saying plainly what you want. One sentence asking people to hold off calling for a week, or naming a single person to contact instead, does more than any careful phrasing. We will write it so it does not come across as cold.
